Creating Your First Workflow

Follow the steps below to get a workflow up and running in minutes.

1. Navigate to Workflow

• From the left-hand navigation, open Workflows.
• Click Create Workflow (top-right).

2. Basic Setup

Field	What to enter	Notes
Workflow Name	A clear, descriptive title  (e.g. “Black Friday Campaign”)	Helps you recognise the workflow later.
Email Account	Connect a mailbox (Gmail, Outlook, or Kerio Connect)	Eloquens will read & reply from this account.
Draft or Send	• Draft – AI saves replies for review. • Send – AI sends replies automatically.	You can switch later.
Manager Name & Email	The person to loop in when the AI lacks context	Used for escalation or lack of knowledge.
Calendar Link(optional)	A booking link (Calendly, Outlook, Google)	Inserted into replies when senders ask to meet.
Group(optional)	Label (e.g. Sales, Support)	Lets you filter and report on similar workflows.

3. Add Knowledge

At least one knowledge source is required so the AI can answer accurately.

Add multiple sources if needed; Eloquens will blend them into its answers.

4  (Advanced Configuration) — Optional

Skip this section for a quick start. You can fine-tune AI settings or advanced settings later.

5. Review & save

• Click Let’s Review.

• Confirm all details are correct.

• Hit I’m Done!

6. Activate 

Toggle the switch next to the workflow name to On. Eloquens will immediately begin drafting or sending replies according to your settings.

Need to Edit Later?

• Hover the workflow row and choose ⋯ → Edit to update any settings.
• Toggle Off to pause automated responses at any time.
