Knowledge conflicts and unused knowledge

Two things keep a knowledge base trustworthy over time: catching a new document that contradicts an old one before the assistant has to choose between them, and noticing material that nobody asks about. The Knowledge page does both, and in both cases nothing changes unless you decide.

Conflicts: files that may disagree

Every time a file you upload has been read, Eloquens compares it with what the workspace already knows. If the new file disagrees with an existing source, or looks like a newer version of one, it records the pair with the matching passages and tells the workspace's owners and admins with a notification: A new file may disagree with one you already have. Review it in Knowledge.

On the Knowledge page, the Needs you card shows N files may disagree with knowledge {assistant} already has.

Review a conflict

  1. In the left rail, click Knowledge.
  2. Under Needs you, click the files row. The view explains: We checked each new upload against your existing knowledge. You decide.
  3. Each row shows a tag, Disagrees or Newer version, a one-line summary, and the two sides, New and Existing, each with its name and the passage that matched. A side can be a File, a Google Doc, a Saved answer or a Website.
  4. Choose one:
    • Keep both: you have read both and they can coexist. The row is cleared.
    • Remove the new …: delete the new file from the workspace.
    • Remove the existing …: delete the older source from the workspace.
  5. Removing opens the usual delete confirmation, which names how many assistants use the source.

What is checked

  • Uploaded files start a check. A tracked Google Doc or a web page does not start one, but can be found as the Existing side.
  • File names are a hint only. A Newer version verdict needs the content to match, not just the name.
  • The check runs in the background after indexing. The upload itself never waits for it.

Unused knowledge

An item counts as unused for an assistant when all of these are true: the assistant is on, the item has been available to it for longer than the window, the assistant sent or drafted at least one reply in that window, and none of those replies used the item. Each assistant is judged on its own replies, so a file one assistant uses daily can still be unused for another.

The Needs you card shows N files {assistant} hasn't used in a reply for 90 days (the noun follows what was found: files, saved answers, pages).

Review unused items

  1. Under Needs you, click the unused row.
  2. The view is titled N items {assistant} hasn't used in a reply for 90 days and explains: Stop reading takes it away from {assistant} only. Delete removes it from the workspace.
  3. Each row shows the item, where it lives (In {folder}), when it was added, and either when it was last used in a reply or not used in a reply since tracking began.
  4. Choose Stop reading to detach it from that assistant, Delete to remove it from the workspace, or leave it.

Change the window or turn it off

  1. Click your name at the bottom of the left rail to open your Profile page.
  2. Under Unused knowledge, use the switch to turn the check on or off, and set Number of days (1 to 1095). The default is 90 days.
  3. Only a workspace owner can change this; others see Ask a workspace owner to change this.

Good to know

  • Neither list ever deletes anything on its own. They surface decisions; you make them.
  • Keep both does not merge the two sources. If the same question has two answers, the assistant may still have to choose; editing one of them is the surer fix.
  • An assistant that is off, or that received no mail in the window, produces no unused flags.
  • Both lists follow the assistant named in the heading. Click Switch assistant to see another one's.
